Present: Waldo Asp, Chuck Block, Jim Brakken, Earl Cook, Roger Dreher, Jan Eck, Lisa Gabriel, MaryJo Gingras, Ted Griggs, John Haack, Mike Klink, Sheri Snowbank (note taker), Susan Tesarik (via phone), Pamela Toshner, Susan Wallin, and Lorna Wilson

Lake Awards – Jim said that four counties have responded (Rusk, Washburn, Bayfield, Douglas) and he gave originals of the writeup to John for printing.

Folder stuffing will be June 9th starting at 9:30 at the Spooner Ag Research Station. (Fred, Lisa and Lorna volunteered at the last meeting)

Budget
Roger has concerns over copy cost. $300 (estimated $2 per person). John pointed out we have reduced the cost of the folders significantly $0.07 versus $1.00 each and the DNR will print out the large agendas we put outside of the door, saving ~$100. Hopefully these cost savings will make up for any increase in the price of copies. If copy costs remain within the budget it will leave $400 for advertising.

Registration
Susan T. - 11 registrants, 2 non-profits, 3 for profits and 1 sponsor have paid. The River Alliance has promised $250 for the Big Top and we got $3,000 from the NPS. Roger said that he has 9 businesses that have committed and 7 have shown interest. Jim said Bayfield through an educational grant will cover 35 registrants (for each new person that comes they will pay for 2 others). MaryJo has been in contact with the Cable Museum about youth registration. They will not know exact numbers until the week before the conference, but they will register 8 kids (for free) and submit the names later. MaryJo will work with Susan T. on this. She has also contacted the home school groups out of Ashland and Rice Lake. They requested brochures. Other committee members have contacted area schools: Jan – all schools in Sawyer, Lorna – Northwoods, John – Shell Lake, Chuck – Winter.

If a participant wants to attend only one half of the AIS workshop on Thursday how much do we charge? There was a consensus that the fee remains $25 regardless because of lunch costs. The rest of the meetings on Thursday are bring your own lunch.

Big Top Shows
Ticket sales
• Hayward Lions Waldo – (got Evening 50, Matinee 30) so far they have sold 5 matinee and 30 evening.
• Cable Lions and Chamber- Jim – (got Evening 100, Matinee 20) so far they have sold 3 matinee and 34 evening
• Seeley Jim – (got 20 Evening) not sure how many has been sold

Extra matinee tickets can be sold when they register on the WAL site. We will need to look into limiting the number of extras that can be sold. Right now an unlimited number can be ordered. (Update: WAL has corrected the problem)
On June 2nd ticket representatives send John an update and on June 9th turn in final numbers sold to John and make sure you have the extra tickets and money in hand. These can be turned in at the conference.

Matinee
Earl signed the contract and in it they require volunteers to help unload and set up the equipment in the theater. Probably around 10 – 11 am. Jan, Susan W. Mike, Lisa, Susan T. and Pamela (she will see if Dave Blumer and Kris Larsen will help as well). There are also other needs in the contract that Telemark has been made aware of.
Lorna, Mike and Susan W. volunteered to be at the door to collect tickets and evaluations. John will bring boxes labeled Evaluations.

Evening
Beverly Stencel will manage the evening show. Jan, Jim and his wife, Waldo and maybe Earl will be available to help take tickets.

Agenda change
MaryJo and Branda Thwaits will do the matinee introduction and logistics. To accommodate getting everyone inside of the Red Arrow we will start the Intros at 3:00 pm and the show at 3:15 (15 minutes later making the break ½ hour)
We will gather the evaluations as they enter the Big Top performance. MaryJo will introduce Branda or NPS representative at the Matinee and John will in the evening.

Erin O’Brien who will be entertaining Thursday evening will also sing during the matinee and evening shows.

There was discussion about roping off “prime” seats to be sold at an increased price (part of the Big Top contract requires 10 seats reserved for their use). The pros and cons were considered and it was decided that we would keep everything as general seating.

Promotions – Publicity
WAL has sent out in the newsletter and will be going out again highlighting more speakers. John will put ads in the paper the first week of June. Others will put information in other publications. We won’t do the radio spots this year. The group did not think it was worth the effort.

Conference Materials
The group reviewed a mock up of the complete folder
• Agenda – corrections will be made for the performance time (color table). If you have any suggestions or corrections about the session descriptions let Susan T. know.
• Evaluation –last year’s evaluation was updated and a question about whether participants would like to see arts/entertainment at future conferences will be included as suggested.
• Partner and Non-profit list – Susan T.
• Recognition sheets – Originals given to John
• Big Top flyer
• Take me to the River brochure and brochure with river and watershed – Branda will drop off with John
• Notepad and pencil
• The front of the cover of the folder celebrating the 10th anniversary – The title will be corrected.

Facilities
We went on a tour of the facilities with the new Telemark events coordinator, Randy and Laura Alten. The locations of the registration and food tables were explained. A reception room is now available near the lobby. We will reserve this for the Consortium on Thursday and as seating for lunch. The Red Arrow room will be set up auditorium style (no tables) in the morning; this will facilitate room arrangement for the performances.

Food
Susan W. arranged for us to preview the lunch. A chicken salad wrap and a veggie wrap, vegetables, fruit and cookie. Both were good. Minor suggestions were made to Telemark.
