- Conference registration is $45. Roger redid the budget and $45 is closer to conference costs.
- Thursday we are only paying for Lauka (AIS & Erin O’Brien).
- We will cap the registration in the AIS workshop to 25 people.
Grants – Besadney – No, Excel Foundation – Invited to participate in application process.

Lake Awards
Jim said that four counties have responded (Rusk, Washburn, Bayfield, Douglas)

Promotion & PR
$350 for publicity.
- Newspaper will run ads and John will submit press release to all papers. (Press Releases have been written and are available here) Four Seasons is a free paper printed in Sawyer County that runs in the NW part of the area. Paul Mitchell is the editor. Lake Tides – John will take care of this. Another issue in June. Mary Jo will help with Ashland, Bayfield and Iron County papers. Susan W. will put in ad in Wayne’s Groceries flyer (Burnett Co).
- $650 for brochure printing costs (1,000) and posters ($575 for brochure and $35 for posters)
- Sawyer and Burnett will make copies to send with their newsletters.
- Susan T. will put it in the WAL newsletter. (e-mail and May-June feature).

Tickets With every pack of 10 sold club gets 2 free tickets. 350 seats in each show.
• Hayward Lions (Waldo) - Evening 50, Matinee 30
• Cable Lions and Chamber (Jim) – Evening 100, Matinee 20
• Seeley (Jim) - 20 Evening
Need to give them an envelop to collect money in and promotional information
Lions contact people need to carefully track ticket sales and money.
Big Top has ½ of the evening tickets to sell online.
For the matinee extra tickets will be for sale at the door and 75 will be available through the WAL website (registration)
Evening Big Top tickets to be sold online at the Chautauqua web site.
The deadline for show ticket sales (Lions and WAL site) is June 14th- unsold tickets and funds need to be collected and reported to John by that date.

Show Logistics
- We will gather the evaluations as they enter the Big Top performance.
- MaryJo will introduce Branda or NPS representative at the Matinee and John will in the evening.
- Erin O’Brien will be there Thursday evening and possibly Friday evening as well.
- We decided trading matinee for evening will be difficult to do and will not be allowed

Facilities
- Projectors and computers were assigned last meeting and are under control.
- Ted will pick up and bring the screens. John already provided them a credit card to charge them to.

Food
Susan met with Laura Alten
Breakfast – there will be two lines one on each side. (no cranberry products will be served).
Lunch – we will again have the two lines. Box lunch that is recyclable; Turkey or veggie wrap, vegetables, fruit and cookie. Participants can eat anywhere and will be able to upstairs.
Thursday – BBQ pork or pulled meat, coleslaw, beans, beer, pop, tea

Registration
The registration site will be up next week. WAL will track the AIS registration and close it at 25. Asking the Thursday free classes to register so we can accommodate room sizes.
Youth registration – youth are free WAL can cover 14 kids and the conference will cover 16 more (cap of 30) first come first serve. They must attend all day to get in free, not just come for the show. This will be added to the press release.
Publicize in the schools and home schools. Volunteers offered to drop things off at the schools.

Conference Materials
• Agenda will be inside the folder this year. It will be the first page of a packet containing the speaker/presentation information. John and Susan T. will work on this.
• Evaluation – Sheri will update last year’s and bring it to the next meeting for approval
• Partner and Non-profit list – Susan T.
• Recognition sheets – Jim
• List of Planning Committee on something- perhaps the back of the one pg. agenda.
• Big Top flyer
• Take me to the River brochure and brochure with river and watershed – Branda will drop off with John
• Notepad and pencil
• The front of the cover of the folder will be in celebration of the 10th anniversary – Sheri will put something together for the next meeting.

Folder stuffing will be June 9th at Spooner Ag Research Station (John’s building) at 9am. Fred, Lisa, and Lorna volunteered to help.

Sales
Just started. Fred and Roger – Profits and Ted Non-profits.

Next meeting May 19th at Telemark. A preview of the lunch will be available for those able to stay. (Thanks Susan W. for coordinating)
