Budget
Roger shared a break even budget. Click here to see the latest budget. He proposed that if we do not get at least $1,000 from the grants we are looking into (Besadney and Excel) we raise the conference admission to $45.00 (raise of $5). We will know about the Besadney Grant by the beginning of March (WAL is our agent for this because of 401 status). We decided to wait until we hear before we make that decision. The brochure will be drafted and will wait for the decision.

Roger approached the Cable area Lions Club about pre-selling tickets for the evening performance. The theater can hold 400 people for each show. We could give them $2.00 per head sold (this is the same Big Top is charging us for the same service. We could also look at expanding this to area counties. We are looking for volunteers to make the contact. If you are interested in helping contact Roger. The volunteers we have so far are:

Before we firm things up too much we need a description of the show to give them and firm up the terms of the deal.

The registration tickets will come with a ticket for the matinee. If they wish to exchange the ticket for the evening we can deal with that on a case by case basis.

To reduce the subsidy of the barbeque we will put a fish bowl by the keg with a sign that says “Contributions Appreciated”

Telemark wanted to charge $2.00 per head for non-conference attendees as well as charging for concessions. Roger was able to negotiate it to $100 clean up fee.

In the past we have used plastic folders for conference materials we can save $267 by using paper folders. The agenda can be glued to the front, so it is visible. The group agreed to the change.

In place of an official youth stream we will be offering students admission for $20. WAL will be making a decision about the youth grant soon to help us cover the costs. We discussed how to get the information to the students.

Committee Updates
Sales and Fundraising – Roger, Ted and Fred will work on businesses and not for profits. Suggest that Promotions and PR take on the pre-sales of the performance. Mary Jo will send not for profit information to Ted.

Registration and Food – Susan W. Barbeque - There was plenty of food and a lot was wasted. We will cut back and ask about more vegetables less grease.
Lunch - will be box lunches and people can eat wherever they want. Suggestions include: vegetarian option and packaging for reduced waste.
Breaks – we will have what we had last year; fruit, muffins and sweet rolls. We will cancel the afternoon break. With concessions being sold during the performance we don’t really need to provide the break.
Susan will meet with Laura and report back next meeting.

Conference materials – Susan T. will be formatting the speaker descriptions. We still need some titles and short summaries of the presentations content. See earlier table. Continue to send them to John, he will compile them and get them to Susan

Promotion & PR – Jan and Mary Jo will co-chair.
Lorna will help with writing,
Waldo will looking into radio space (WOJB, Hayward (with Jan) and Ashland (Mary Jo)),
Tim will help again with the brochures (they will be printed in Ashland this year)
If we do posters we discussed printing them 8 ½ x 11. It is easier to find spaces for them.
The Big Top will do promotion and pre-sales of the performance if we pay them a $350 fee (would include: post cards, e-blast, newspapers, posters etc.).
